Passes and who can actually enter
Access in a CBD building is usually issued to named individuals rather than to a contractor, which has a practical consequence that catches out most new arrangements. A cleaner who is not on the building's list cannot enter regardless of who they work for, and arranging a pass at short notice is rarely possible outside business hours when it is needed.
The workable response is to have more people passed than the schedule strictly requires on an ordinary night. That carries an administrative cost and it needs the building's cooperation to arrange, but it is the only reliable protection against a missed attendance when somebody is unwell at short notice. The schedule should record who currently holds a pass and when any of them expire.
